How AI Is Helping a Family-Owned Gym Improve Customer Service

A Passionate Family Business Rooted in Russian Gymnastics

Inside the training floor of Astro Gymnastics — a structured and high-energy space where young athletes push their limits.

Tucked away in Lawrence Township, New Jersey, Astro Gymnastics Center is more than just a place where kids learn cartwheels and backflips. It’s a rigorous, high-performance training center where young gymnasts—especially the team kids—are trained with the discipline and precision of Russian gymnastics.

Founded by Alexandra and Oleg, a husband-and-wife duo who were once Cirque du Soleil gymnasts, Astro Gymnastics is built on hard work, passion, and hands-on coaching. They do everything themselves—coaching, scheduling, answering phones, responding to emails, and handling walk-ins. There’s no heavy IT infrastructure, no automated systems, and certainly no massive data collection like in big tech companies. Just a family business giving its all.

AI goals for AstroGymnastics

  • Reduce time spent on repetitive questions

  • Improve customer service without hiring extra staff

  • Free up founders to focus on coaching

A Gym Where Training Comes First

Walking into the gym, you immediately feel the energy. The front desk is simple and welcoming, with a sleek marble counter and a sign-in tablet. Beyond it, the gym floor is filled with elite training equipment—balance beams, uneven bars, a vault, and a spring-loaded floor.

The kids here train hard. This isn’t just an after-school activity—it’s a place where dedication and excellence matter. That’s why every minute counts for Alexandra and Oleg. Every moment spent answering repetitive customer service questions is time taken away from coaching, mentoring, and building the next generation of gymnasts.

Why We’re Starting an AI Project the Right Way

Alexandra and Oleg, founders of Astro Gymnastics, with their AI consultant.

When we first sat down with Alexandra and Oleg, we didn’t come in with a "tech for the sake of tech" approach. They don’t need a flashy AI system—they need real, measurable improvements in how they operate.

The challenge? They don’t have tons of logs or metrics to analyze. Unlike big corporations, they’re not drowning in customer data. But that doesn’t mean we can’t collect data—it just means we have to do it manually at first.

Step 1: Logging the Right Data Before Automating

Before implementing AI, we need to understand the current state of things. Without data, how do we know if automation is actually helping? That’s why we started Phase 1: A Customer Inquiry Journal.

Alexandra and Oleg are now logging every:
✅ Phone call
✅ Email inquiry
✅ Walk-in question

This helps us measure where their time is going and what the most frequent questions are. Once we see the patterns, we can decide what makes sense to automate and what still requires a personal touch.

Step 2: Implementing a Simple AI Chatbot

Once we have the data, the next step is launching a small, smart chatbot to handle the repetitive questions—things like class schedules, pricing, and policies. This won’t replace human interaction but will free up Alexandra and Oleg to focus on coaching instead of answering the same questions over and over.

AI Isn’t About Replacing People—It’s About Empowering Small Businesses

At the end of the day, AI isn’t about automation for the sake of automation. It’s about helping real people—especially small businesses like Astro Gymnastics—optimize their time, improve efficiency, and continue doing what they love.

Alexandra and Oleg built Astro Gymnastics with their own hands. Now, AI is stepping in—not to take over—but to make sure they can train more gymnasts, grow their business, and focus on what truly matters.

What’s Next?

Once the chatbot is live, we’ll track whether it’s actually making a difference—real ROI, not just AI hype. Stay tuned for updates as we measure the impact and refine the system to serve this incredible gymnastics center even better!
